Bring the actual orders and describe the plan: rental truck, portable container, hired carrier, personal vehicle or a combination. Ask which documents and weight evidence apply to that method. If part of the shipment will move through a government-arranged carrier, confirm how the two portions must be distinguished.
Keep the counselor’s instructions with the authorization. Record the office, contact date and any open question. If orders change, return to that office before assuming the original plan and calculation still apply.
Separate the PPM estimate from housing cash

Do not earmark an expected PPM surplus for an earnest-money deposit or closing funds that are due before payment is certain. Ask your lender what documentation is needed for funds used in a home purchase. A move estimate does not establish that cash is available in an account or acceptable for a particular loan file.
For a Tinker household combining a sale with an outbound move, make a separate schedule showing possession turnover, truck loading and temporary lodging. Label estimates as estimates. This makes a shortfall visible without assuming a specific reimbursement amount or payment date.

Confirm the submission clock with your office
There is a material inconsistency in the official public guidance checked for this article. The PPA page describes submission within 45 days after move completion; Military OneSource's PCS moving FAQ describes 45 days from the planned start date. Those are different starting points.
Before moving, obtain the deadline applicable to your service and claim in writing from the office that will process it. Ask for the submission channel, required attachments and how you receive confirmation. Plan early; do not use either public-page phrase as a reason to delay while the conflict remains unresolved for your file.
Save the submitted packet and acknowledgement. A message sent to the wrong office is not a useful substitute for confirmation that the processing office received a complete claim.
Reconcile payment after delivery
Compare the payment explanation with the authorized move, accepted weight and submitted records. Identify any missing document or disputed calculation precisely when asking for help. Keep the final paperwork with your move and tax records as directed by the appropriate professionals.
