IRS Form 56 notifies the IRS when a fiduciary relationship begins or ends. It does not update the taxpayer’s last known address, and it is not a substitute for Oklahoma authority to sell inherited real estate. Before an estate home is sold or its mailbox passes to a buyer, have the personal representative and tax professional coordinate the fiduciary notice, the correct address-change process and the separate probate or title requirements.
The June 2026 Form 56 instructions expressly separate the notice from an address change. That distinction matters when an executor assumes that naming a fiduciary automatically redirects every future tax letter. This is an organizational guide for an estate-home transaction, not instructions for determining who legally holds office or which tax returns an estate owes.
Identify the person and taxpayer involved
Start with the appointment records and ask the tax professional whose tax matters require attention. The deceased individual and the estate can be separate taxpayers. The Form 56 instructions give an example involving separate notices for the decedent and the estate when the fiduciary handles both. Do not treat one name on a file folder as evidence that every tax matter uses the same taxpayer identity.
Make a private index showing each taxpayer, identifying-number source, fiduciary, relevant tax period and professional handling the file. Keep full tax identifiers out of listing documents. If multiple relatives are helping clear the house, distinguish the authorized representative from a family member who is merely sorting mail or arranging a repair.
Record the fiduciary notice as its own task
IRS Publication 559 explains the role of fiduciaries in handling a deceased person’s tax affairs. Ask the preparer to identify what notice is required, who signs it and the evidence of authority that should be retained. Keep a copy of the completed submission and mailing or delivery evidence in the tax file.
A useful checklist records the action, responsible professional and completion evidence. Avoid writing “IRS handled” after one telephone call. An EIN request, fiduciary notice, tax return and information request are different tasks. A receipt for one should not silently close the others. If the fiduciary relationship later ends or changes, ask the tax professional what further notice is necessary.

Change the tax mailing address separately
The IRS identifies Form 8822 as its home mailing-address change form; Form 56 instructions direct use of Form 8822 or 8822-B as appropriate for the person or entity. Have the tax professional choose the correct process rather than guessing from the address of the house being sold.
For an Oklahoma City estate home, record a dependable correspondence address before possession transfers. Confirm who monitors incoming notices and who sends them to counsel or the preparer. USPS forwarding is a separate service. A change made at the Post Office does not serve as proof that the IRS taxpayer record was updated. Preserve envelopes with notices when their dates or routing may matter.
Separate a fiduciary from a tax representative
Form 2848 concerns authorization for an eligible representative to act before the IRS. Form 56 concerns the fiduciary relationship. Hiring a preparer, becoming an executor and authorizing representation are related but different events. Ask the professional what authorization is needed for the particular tax matter.
This distinction helps when an estate-sale deadline overlaps with an unanswered tax notice. Before expecting a professional to speak for the estate, confirm that the necessary authority and authorization are in place. Do not share a deceased person’s online credentials or let a helpful relative impersonate the taxpayer. Use the institution’s authorized process and retain the resulting records.

Keep Oklahoma sale authority with the closing file
Oklahoma probate authority follows the applicable will, court process and title circumstances under Title 58. A federal tax form does not replace those requirements. Counsel and the title professional should identify who can sign the purchase contract and deed, what court action is required and which records the closer needs.
The estate EIN and sale-reporting checklist addresses seller tax identity and closing records. This article answers the different notice-and-address question. Keep the two files connected through an index, while leaving confidential tax details with the professionals who need them. Neither an IRS mailing receipt nor a closing appointment proves that all estate obligations have been resolved.
Plan the handoff before the mailbox changes hands
Before the buyer takes possession, assemble a correspondence plan: reliable mailing address, person checking it, secure document storage and contact information for the tax preparer and attorney. List open IRS notices, their response dates and who is handling each one. Do not assume that the home sale ends the estate’s tax work.
Ask the closing team which final statements and reporting documents will be sent later and verify their delivery details. Our inherited-property resources can help you organize the real-estate side. If the sale calendar needs to accommodate unresolved authority or document issues, contact OKC Metro Group so the marketing and possession plan follows the verified estate process.
