When you receive keys to an Oklahoma City rental, document its condition before boxes and furniture hide existing problems. Read the inspection and notice provisions in your signed lease, take clear room-by-room photographs, and send a dated written report through the required channel. The OREC 2026 Residential Lease has specific inspection timing, but that wording is not a universal deadline for every Oklahoma lease.
Read the inspection clause before moving day
The Oklahoma Real Estate Commission’s 2026 Residential Lease calls for inspection and notice of defects before occupancy and within 24 hours of receiving keys. That is the language of that form. Your signed agreement may use another form or contain different terms, so find the actual clause and any attached condition checklist.
Before key delivery, identify where notice must go and how it is to be sent. Ask the owner or manager to clarify an unclear process in writing. Save the instructions with the lease. A maintenance app, email address and emergency phone number may serve different purposes.
For a relocating household arriving after a long drive, reserve time for this task before helpers begin unloading. It is easier to record an empty room than to reconstruct its earlier condition after furniture is in place.

Make a room-by-room record that someone else can understand
Start with an overall photograph of each room, then take a closer view of a particular mark or defect. Use a short description that identifies the room and exact location: for example, a scratch on the lower inside edge of a bedroom door. Keep the original files and their date information.
Record visible condition rather than guessing at the cause. A stain does not establish when a leak occurred, and a photograph does not diagnose an electrical or structural problem. Ask the manager about an item that needs investigation. Do not remove covers, climb onto a roof or perform an unsafe test to complete a checklist.
Legal Aid Services of Oklahoma recommends a move-in walkthrough and checklist, ideally with the landlord, with signatures, dates and copies. If a joint walkthrough is unavailable, document your own observations and request a written response.

Send a concise report and keep proof of delivery
Organize the report by room and number the items so photographs can be matched to descriptions. Include the rental address, key-receipt date and the date of the inspection. Keep the tone factual. A short list of observable conditions is more useful than a broad statement that the home was not perfect.
Use the notice method required by the lease and keep evidence that the report was sent. Ask the manager to acknowledge receipt and identify any item they dispute. Save the response with the original report rather than overwriting the initial record after a conversation.
If the landlord provides a checklist, read it before signing. Ask how unresolved items will be noted. A photograph file sitting only on a phone may preserve evidence, but it does not by itself demonstrate that contractual notice was given.

Separate urgent repair reporting from the condition baseline
An active leak or another urgent concern needs the appropriate reporting process promptly. Do not wait to finish a long photo inventory before contacting the manager through the lease’s urgent channel. The OREC form separately addresses prompt reporting of leaks; review the corresponding provision in your own agreement.
Keep the maintenance request and the move-in condition report linked in your records. Ask what action will be taken, who needs access and how the appointment will be arranged. Document the condition again after authorized work if that helps explain the change.
This guide does not advise withholding rent, attempting a repair without authorization or treating a photograph as a legal remedy. For a disputed responsibility or an unsafe condition, seek advice from an Oklahoma attorney or Legal Aid based on the actual facts.

Preserve the baseline through the tenancy and the next move
Store the signed lease, checklist, original photographs, sent report and responses together in a secure location you can still access after moving again. A small index is useful: room, item number, file name and any later repair record. Keep personal information and pictures of family members out of unnecessary attachments.
At move-out, compare the current condition with that baseline and follow the separate lease and legal requirements for ending the tenancy and requesting the deposit. Good records can clarify a disagreement, but they do not guarantee that every charge will be reversed or that a refund is automatic.

Lease obligations and tenant remedies depend on the actual agreement and law. This is a documentation checklist, not a legal opinion about a particular rental.
