Separate identity documents before the cleanout

Tell helpers to set aside passports and official records without photographing or sharing the personal details. Use a simple log showing what was found, who has custody and what action is pending.

Check which passport situation you have

Keep a short exception list for the person coordinating the records. For example: booklet found but card not found, name on the document differs from a later legal name, or the requested death certificate is not yet available. Decide whether the family wants it returned
The agency says it can return the passport after cancellation if requested. Its listed packet includes the valid passport, a certified copy of the death certificate and a letter requesting cancellation and return or destruction. [S1]
Make that choice before mailing. A canceled passport may have sentimental value because of old stamps or family travel memories. Ask the appropriate family decision-maker whether return is wanted, then make the letter consistent with that decision. Do not promise a return date that the agency has not supplied.
Write a clear return address and retain a secure copy of the request letter. If the inherited house will be sold or emptied soon, avoid using it as a return destination without a dependable plan for receiving the document. Confirm the current destination before mailing
The current State Department page directs the packet to its Consular Lost and Stolen Passport Unit, known as CLASP, in Sterling, Virginia. Recheck the agency page immediately before sending the packet. Ask the sender to compare the documents with the agency's checklist and confirm that the requested death certificate is certified. A casual photocopy should not be substituted for the listed certified copy without agency instructions.
